Admissions Intake and Principal Handoff

Admissions intake records a family's request so the school can review it. Staff collect accurate information and prepare the decision handoff; a placement is confirmed only through the school's authorised enrollment process.

Before you begin

  • Confirm the applicant's legal or preferred name, guardian contact details, target grade, and the source of the request.
  • Search the admissions list for a matching applicant, guardian, email address, or phone number first.
  • Keep identity, health, family, and supporting records in the school's approved storage and communication channels.

Record and hand off an application

  1. Open Admissions & Enrollment and search for an existing application.
  2. Create the application only when no matching record exists. Enter the applicant, guardian, contact details, target grade, and relevant notes accurately.
  3. Review the record with the family or source information before saving.
  4. Use the application stage to show that the file is ready for Principal review according to school policy.
  5. Give the Principal or designated approver the applicant record and any required supporting material through the approved handoff process.

What happens next

The Principal's decision and the School Admin's confirmed enrollment process create the next school records. Staff intake alone does not create a class placement.

Troubleshooting

Information is incomplete

Leave a clear factual note, request the missing item through the approved process, and do not represent the file as ready for a decision.

A family asks for an immediate placement

Record the request and hand it to the authorised approver. Do not promise a section, date, fee, or place before confirmation.

The applicant needs safeguarding support

Stop ordinary intake and follow the school's safeguarding escalation procedure.
