Official Documents and Controlled Stock

The Document Center creates official school records from approved student and school data. Some document types are controlled, meaning their stock and serials must be protected before any issue is completed.

Prepare a document draft

Create a safe draft

  1. Open Documents and search the registry for an existing document for the same student and purpose.
  2. Select the correct document type and student, then review the visible school and student details.
  3. Save the draft and correct missing source data before submitting it for verification.
  4. For a controlled document, check that the correct stock is available before moving toward issue.

Controlled stock

Controlled stock is the school-held supply used for official documents that require serial tracking. A stock item must be available and correctly matched to the document type before issue.

What happens next

A saved draft is ready for the next verification step only when its source details and stock status are correct. It is not an issued document.

Troubleshooting

Required details are missing

Stop at draft. Ask the responsible owner to correct the school profile, student, enrollment, or grade data, then refresh the draft.
