Student Records and Sensitive Information

Principal student views can include identity, family, health, admissions, behavioral, and alumni information. Use this access to make a necessary leadership decision, not to create a parallel school record or broaden access to sensitive data.

Review a student record responsibly

Check the minimum necessary context

  1. Search for the correct student using the available school identifier and confirm their identity.
  2. Open only the information needed for the decision or safeguarding responsibility.
  3. Distinguish current enrollment from historical or alumni information.
  4. Give a clear follow-up instruction to the responsible role and avoid copying the record into informal channels.

What happens next

A leadership review should leave a clear, authorised handoff without creating an informal copy of a sensitive student record.

Troubleshooting

Two records may describe the same student

Do not choose one or merge information informally. Ask School Admin to reconcile the records.

Health, family, or identity data is missing or disputed

Do not infer it. Follow the school’s verified-source and safeguarding procedure.

A discipline concern needs action

Confirm the underlying evidence and policy, limit access to those who need to know, and use the designated escalation process.

An alumni request arrives

Confirm identity, authority, and approved purpose before asking Staff/Admin to process a transcript, verification, or record request.
