Reports, Analytics, and Data Handling

Reports and analytics support leadership decisions when their purpose, scope, period, and underlying data are clear. Use the smallest report that answers the approved question and protect any information you export.

Prepare a responsible report

  1. Define the decision question and the minimum information needed to answer it.
  2. Select the relevant data source, academic context, and narrowest available filters.
  3. Review the result for scope, missing records, and unexpected values before sharing it.
  4. Export only for an approved school purpose and store the file in an approved secure location.
  5. Share a summary where possible instead of distributing raw student data.

What happens next

A responsible report answers an approved question with the smallest useful amount of data and a clear owner for any follow-up.

Troubleshooting

No records are returned

Recheck the selected data source, grade filter, search term, and academic context before assuming there is no school activity.

Results are unexpectedly large or small

Inspect a sample of source records and confirm whether the report includes the intended term, grade, and population.

A compliance request is received or an export is no longer needed

Confirm requester authority, legal basis, scope, and school approval before preparing data; remove unneeded files through the approved retention process.
