Dual-Governance and Policy Versioning

Communication settings govern who can contact whom across students, parents, teachers, and staff. To protect student safety and maintain institutional integrity, changes follow the four-eyes principle:

Propose and apply policy changes

  1. Navigate to Communication Settings (/admin/communication-settings).
  2. Review the Effective policy banner showing the current policy version and active safeguarding status.
  3. Adjust the desired contact rules, safeguarding parameters, or custom-role grants.
  4. Under Review changes, enter a descriptive Reason for change (minimum 10 characters).
  5. Click Send to principal (as School Admin) or Apply policy (as Principal).

Contact Rules and Scopes

Control permissible role-to-role message interactions across the school:

  • Student peer messaging: Toggle between Off (students cannot message other students directly) and Same active class (students can message classmates in their currently enrolled homeroom/section).
  • Students can contact: Restrict student messaging to Assigned teachers (teachers assigned to their active course sections) or open to All active school teachers.
  • Parents can contact: Restrict parent inquiries to Their child’s assigned teachers or permit inquiries to All active school teachers.

Safeguarding and Named Reviewers

Enabling student peer messaging mandates two non-negotiable safeguarding guardrails:

Configure safeguarding requirements

  1. Retention period: Specify a message retention duration between 1 and 3650 days (10 years). Shorter retention periods permanently delete eligible messages at the next scheduled retention cleanup. Open safeguarding reports and audit holds remain preserved.
  2. Named reviewers: Select at least two distinct, active staff members or administrators as safeguarding reviewers.
  3. Click Save to include these in your policy draft.

Custom-Role Access

Custom user roles created in Role Management (/admin/roles-permissions) do not have communication access by default:

  • Use portal: Enables the custom role to access /communication and view public announcements.
  • Contact staff: Authorizes users in that custom role to initiate direct messages with school employees.
  • Custom-role grants never give access to private conversations between other parties.

Emergency Restrictions

In urgent safeguarding situations, School Administrators do not need to wait for Principal proposal review to restrict access. Under Emergency restrictions:

  • Pause student peer messages: Instantly suspends all student-to-student messaging school-wide.
  • Revoke custom role: Instantly strips communication portal permissions from a designated custom role.
  • Both emergency actions require an audit reason (minimum 10 characters) and take effect immediately.

Change History and Audit Log

The Change history section maintains a permanent, paginated audit record of every policy proposal, approval, rejection, withdrawal, and emergency restriction, including timestamps, proposing users, approving principals, and written decision reasons.
