School profile and operating days

In System Settings (/admin/settings), set the school name, upload the school logo, and choose active teaching days. The active days should match the calendar used by your timetable. Save changes, then check the sidebar and schedule reflect the intended school identity and week.

Student Experience Settings

The Student Experience tab in System Settings lets School Admins tailor the visual complexity and presentation of the student portal according to student age and grade level.

Configure student interface presentation

  1. Navigate to System Settings (/admin/settings) and select the Student Experience tab.
  2. Select a Default Presentation mode: Guided (card-based, structured step-by-step layout ideal for early learners), Expressive (dynamic visual cues and badges), or Focused (streamlined, distraction-free view for secondary students).
  3. Configure Grade Overrides if different grade levels require tailored interfaces (e.g. primary on Guided, secondary on Focused).
  4. Use the Device Preview toggle (Desktop vs. Mobile) to test and review the layout interactively.
  5. Click Save Changes. The student experience settings apply immediately to all active and future student sessions.

School Configuration and country-based localization

In School Configuration (/admin/school-config), the school's statutory framework is governed by its assigned Country Code (CountryCode, e.g. TH for Thailand, MY for Malaysia, ID for Indonesia) and School Type (SchoolType, e.g. kindergarten, primary, secondary). These foundational properties are set during tenant provisioning and determine which statutory document templates, grading scale systems, and reporting standards are available.

Statutory document catalog and templates

The document catalog provides country-specific statutory templates:

  • Thailand (TH): Ministry of Education (MOE) forms including P.P.1 (ปพ.1 - Transcript / Primary Academic Record), P.P.7 (ปพ.7 - Cumulative Student Health and Identification Record), completion certificates, and student certification letters.
  • Malaysia (MY): Standardized school assessments, PAJSK co-curricular summaries, and graduation testimonial letters.
  • Other Regions & General: Standard transcripts, enrollment certificates, and bilingual completion diplomas.

School Admins can toggle individual document types on or off in the catalog to match school offerings. If no specific selection is saved, all catalog items appropriate for the tenant's school type are enabled by default.

Official school profile and print calibration

Under Official Document Profile settings, administrators maintain statutory institutional metadata required for legal certificate generation:

  • Institutional Identity: Statutory Official School Name, Ministry Registration Code (SchoolCode), Affiliation, and Supervising Administrative Office.
  • Geographic Hierarchy: Address line, Sub-District, District, Province, and Postal Code formatted according to regional postal standards.
  • Curriculum Details: Official Curriculum Name and Version (e.g. Basic Education Core Curriculum B.E. 2551 / Revised 2560).
  • Physical Print Calibration: High-precision print offsets (PrintOffsetX and PrintOffsetY in millimetres) and scaling factor (PrintScale). These settings adjust document alignment to match pre-printed government stationery stock without requiring manual printer driver tweaks.

Authorized signatories and temporal validity

Every official credential issued by the school requires validated signatories based on the document's legal scope:

  • Signatory Roles: Support for statutory roles including Principal, Registrar, Chair, ExternalAuthority, Writer, Checker, and Reviewer.
  • Temporal Non-Overlap Rule: Each signatory has an effective date range (EffectiveFrom and optional EffectiveTo). The platform strictly enforces that active date ranges for the same role cannot overlap, preventing ambiguous authority during document generation and audits.
  • Snapshot Immutability: When an official document is issued, the active signatory snapshot is sealed into the issued document record. Historical credentials remain valid even if school leadership changes later.

Import and export data

Use data files safely

  1. Download the template from the same import screen you will use.
  2. Keep required column headers and use a small test file before a large import.
  3. Review the import summary and errors before assuming all records were created.
  4. Use CSV exports only for an approved reporting or operational purpose.
  5. Store exports securely and remove local copies when they are no longer needed.

System Settings supports CSV import for student, staff, and teacher records, plus directory exports. User Management also has a spreadsheet import flow. Use one controlled process for each intake to reduce duplicate accounts.
