Prepare and execute the transition of students, cohorts, homeroom assignments, and academic structures from the current active academic year into the upcoming planned school year.

Transition Scopes: In-Year vs. End-of-Year

Understanding the operational boundary between term changes and year rollovers is vital:

  • Term Advancement (In-Year): Moving from Term 1 to Term 2 within the same academic year does not use Rollover. Simply configure term dates and update the active term under Academic Years (/admin/academic-years).
  • Year Rollover (End-of-Year): Used strictly once per school year to promote cohorts to the next grade level, graduate senior classes, retain students where needed, and copy course structures into a newly planned academic year.

The Rollover Rules and Safeguards

Agiled's AcademicTransitionService enforces non-destructive preparation guardrails:

Prepare and execute end-of-year rollover

  1. Navigate to Academic Years (/admin/academic-years).
  2. Ensure the target upcoming academic year has been created with all terms in Planned status.
  3. Click the Rollover action icon on the upcoming target year card.
  4. Review the confirmation modal outlining the transition scope from the current active year to the target year.
  5. Click Run Rollover Process. Agiled stages the transition in the background.

Activating the New Academic Year

Running the rollover process prepares the new year without disrupting active school operations:

  • The target academic year and its terms remain in Planned status.
  • Current teachers, students, and parents continue viewing active-year attendance, grades, and fee records.
  • When the new school year officially commences, return to /admin/academic-years and click Activate on the new year.
  • Activation safely archives the previous official period and transitions all users to the new school calendar.
